Who Gets Notified
Itefy notifies the people a change actually concerns — not everyone. This page lists the rules. For where notifications appear and how unread ones escalate to email, see Notifications.
Two rules apply everywhere:
- You are never notified about your own actions. If you check something out yourself, only the other people involved hear about it.
- The item's primary responsible person (PPR) is in the loop. Assigning someone as primary responsible for an item means they are told when something happens to it.
Items
| What happened | Who is notified |
|---|---|
| You were made (or removed as) primary responsible for an item | You |
| An item's condition is changed | The item's primary responsible person |
| An item's current location is changed | The item's primary responsible person |
| Inventory falls to or below the low-stock threshold — and when it's restored above it | The item's primary responsible person |
Checkouts
| What happened | Who is notified |
|---|---|
| A new checkout is made | The assignee, each item's primary responsible person, and — if it fulfils a reservation — the reservation's assignee |
| A checkout is due soon (6 hours before Return by) | The assignee (or the creator, if no assignee) |
| A checkout is overdue (at Return by) | The assignee (or creator), plus each item's primary responsible person |
| Items are checked in | The assignee (or creator), plus the primary responsible persons of the returned items |
Reservations
| What happened | Who is notified |
|---|---|
| A reservation (single or recurring) is created, updated, or its dates change | The assignee (or the creator, if no assignee), plus each item's primary responsible person |
| A reservation starts soon (6 hours before start) | Same recipients |
| A reservation ended without being completed (1 hour after end) | Same recipients |
Issues
Issue notifications are high priority — they escalate to email faster than others.
| What happened | Who is notified |
|---|---|
| An issue is created | All participants, the responsible person, and each affected item's primary responsible person |
| An issue's deadline is near (6 hours before) or passed | The participants and the responsible person |
| An issue's status or details change, or it is deleted | The participants and the responsible person |
| Someone comments on an issue | The participants, the responsible person and the items' primary responsible persons |
Events
| What happened | Who is notified |
|---|---|
| An event is created or updated | The assignee, each item's primary responsible person, and — if created from a reservation — the reservation's assignee |
Comments, mentions and replies
| What happened | Who is notified |
|---|---|
| You are @-mentioned in a comment (issues, checkouts, reservations, contacts) or in an issue description | You |
| Someone replies to your comment | You (unless you were already mentioned in the reply) |
See Comments for how mentions and replies work.
