Search & Filtering
To find items, select Items from the main menu (or click the Items quick-action card on the dashboard). The Items page has four tabs — Items (fixed assets), Inventory (consumables/stock), Archive and Trash — each with its own count. Search and filters work within the tab you are on.
Type keywords in the Search for... field — the list updates as you type. To narrow the result further, click Filter by and tick the filters you want; they are applied immediately. A badge on the Filter-by button shows how many filters are active. Click Clear all filters at the bottom of the dropdown to remove them all.
Filtering Options
Types
Select one or more types to include in the search result only items that are of one of the selected types.
Locations
If you have added locations, you can filter on locations. Selecting multiple locations will list items that are registered in one of the selected locations.
Availability (Items tab)
If both or neither Available or In use is selected, the search result will show items regardless of availability. If selecting Available, only checked-in items will show, and if selecting In use, only checked-out items will show.
Condition
If all or no specific condition is selected, the search result will show items regardless of condition. If you select one or more conditions (Operative, Inoperative, Discarded), only items in that condition will show up in the search result.
Categories
Categories like size, color, make, model etc. can be applied to items. Select one or more values to list items that match. If you select values within different categories, the search result items will match at least one value within each category.
Example: Under color, blue and red are selected, and under size, only medium is selected. The search result will list items that are either blue or red (color) and medium (size).
Inventory status (Inventory tab)
On the Inventory tab you can filter by stock level:
- Above threshold: Items where current inventory is higher than the threshold that has been set.
- Close to threshold: Items where current inventory is lower than 10% above the threshold that has been set.
- Under threshold: Items where current inventory is lower than the threshold that has been set.
- Empty: Items where current inventory is empty (0).
Kits view and flat view
With the two buttons to the left of the search field you can switch between the kits view, where kit containers can be expanded to show their sub-items, and a flat list showing every item on its own row.
Choosing columns
You can change which columns to show (Unique ID, Type, Location, Lifespan, Current value, Inventory, Availability, Condition, Public) by clicking the gear button to the left in the toolbar.
