Inventory
Inventory items are designed for tracking collections of consumables rather than single units — building materials, disposables, spare parts and similar. Where a fixed asset is one physical thing you check out and return, an inventory item represents a stack you add to and pick from.
You choose between Fixed asset and Inventory when adding an item, and can convert an existing item under item settings. Inventory items can have a unit (pcs, kg, liters, …) shown next to the amount, and a low-stock threshold. They cannot be checked out, reserved, or be part of kits — but you can still report issues and create events on them.
All inventory items are listed on the Inventory tab of the items page, separate from your fixed assets.
Item listing by inventory status
You can filter inventory items by their inventory status — above threshold, close to threshold, under threshold, or empty:
- Select Items > View items from the main menu, and switch to the Inventory tab
- Click the Filter by dropdown next to the search field
- Under Inventory, tick the statuses you want — the list updates immediately
Inventory changelog
All inventory changes are logged with detailed information. View them in two ways:
- For a specific item: Open the item page and select the Inventory tab — the change history is listed below the current amount
- For all items: Select Logs from the main menu, then Inventory changes. You can search, filter by change type (Added / Picked / Adjusted) in the Filter by dropdown, and sort by clicking the column headers (#, Item, Change, Previous, New, User, Time)
Notifications on low inventory
When an item's inventory drops below the low-stock threshold defined in item settings, the primary person responsible receives a notification.
