Batch Edit Items
Instead of opening items one by one, you can change a field on many items in a single run — for example move 40 items to a new location, or set a category on everything matching a search.
There are two ways to start, both on the items page (Items and Inventory tabs):
- Edit selected — tick the items you want using the checkboxes, then click Edit selected in the selection bar at the bottom. The change applies to exactly those items.
- Edit results — click Edit results in the toolbar. The change applies to every item matching your current search and filters — also the ones on other pages of the list. The button is only enabled while a search or filter is active, so you can never accidentally edit every item in the account.
What you can change
Pick one field per run (which fields you see depends on your permissions):
- Current location — set a new current location
- Item type — assign a different type
- Condition — set Operative, Inoperative or Discarded, with optional remarks applied to every changed item
- Categories — add categories to the items, or remove categories from them (other categories on the items are untouched)
- Main image — upload one picture that becomes the main image on every item. The image is uploaded once and shared across the items; removing it from one item later won't affect the others.
Run the change
- Pick the field and its new value, then click Continue.
- A summary shows how many items will be changed, the field, and the new value. Check it, then click Start change.
- The items are changed one at a time with a progress bar. Keep the tab open and stay on the page until it finishes — navigating away stops the run partway.
You can click Cancel during the run; Itefy finishes the item it is currently changing and then stops. Items already changed stay changed.
The results receipt
When the run finishes (or is cancelled), a receipt shows what happened:
- Changed — every item that was successfully updated
- Failed — items that couldn't be changed, each with an error message (for example items you don't have permission to edit)
- If you cancelled, the receipt also shows how many of the total were processed
Click Done to close — the list reloads with the changes applied.
