Public items
If you rent out machines and other equipment, you can make documentation, declarations, instructional videos, and other information easily available just by adding a label with a unique QR code on each machine. Public items are available on Startup and higher plans.
How to make an item public
- Add the equipment to Itefy with the information that you want your customers to access.
- After the equipment is added, you can add all kinds of information, like who is responsible for the item, where its home location is, and so on. You can also add attachments like documentation, user manuals, declarations of conformity etc., pictures and videos (for instance instructional videos).
- Open the item, select the Settings tab, then the Misc section, and switch on Make item public. The item's unique Public URL appears below the toggle — use the Copy button to copy it, or open it in a new tab to preview what your customers will see. You can share the address by email or text message, or even better, convert it to a QR code printed on a label sticker that you attach to the equipment itself.
Customization and internationalization
If you use Itefy for more than just giving customers access to documents, declarations, and training (like scheduling, check-outs, location tracking, or other stuff), you might want to limit what information to make available for customers.
To customize the public item pages, select Settings from the main menu, then Public items.
Here, you can add some general information that will appear on all public item pages. You can also choose which sections should be visible on the public item pages, and even change each section's label (i.e. if you want to translate it to another language). The sections are:
- About
- Primary person responsible
- Home location
- Current location
- Attachments
- Videos
You may also choose which section should be open by default (Open section on load). Click Save public items settings when done.
Create QR labels to stick on your equipment for easy access
We recommend creating unique QR labels that you attach to each machine you rent out. This way, your customers can scan the QR code with the camera on their phone, and immediately have access to all the information you have made public for that item.
The easiest way is the built-in label generator: on the items list, click Create QR Labels in the toolbar to generate a printable PDF with a QR code label for each item in your selection or search result. You can also print Blank QR Labels — pre-coded labels you stick on equipment first and map to items later with the phone app.
If you prefer a dedicated label printer, you can instead Export your search result to an Excel or CSV file and import it into software such as DYMO ID or equivalent, and convert it into unique labels with for instance the equipment name and the corresponding QR code for the public web address (URL).
