Contacts

Contacts are the external companies and people your organization works with — customers who rent your equipment, suppliers and manufacturers, service partners who perform maintenance, and so on. Itefy keeps them in a simple address book and lets you connect them to the records where they play a part.

There are two kinds of contacts:

  • Companies: Organizations, with address, registration/VAT numbers and their own list of people.
  • People: Individual persons, optionally belonging to a company. A person can have a role/title and department.

Each contact can also be marked with one or more relationships: Customer, Supplier or Other (with your own description). These show as tags on the contact and help you tell your customer base apart from your supply chain.

You find contacts in the main menu under Contacts. The list can be searched, filtered by type (companies / people), and sorted by clicking the column headers.

Where contacts appear

Once added, contacts can be linked to the operational records in Itefy, each with a role:

  • Items — as vendors: supplier, manufacturer or service provider
  • Reservations — as customer, service supplier or general contact
  • Checkouts — as the external party the checkout is on behalf of
  • Events — as the company or person who performed the work, or the client
  • Issues — as the external party who performed or reported the work

The contact's own page shows the same connections from the other side, along with activity tabs, documents and comments.

Contacts are available on the Startup plan and higher.
