Link contacts to items, reservations and more
Contacts become useful when you connect them to the records they play a part in. Each link has a role that says what the contact's part is. Links are added from the record's own page, and every linked record automatically shows up on the contact's page too.
Where and how to link
On each record's page you'll find a contact section with an Add contact (or Add vendor) button. Pick the role from the dropdown next to the button, then select the contact in the picker. Remove a link with the × on its row. Adding and removing links requires edit permission on that record.
| Record | Section | Available roles |
|---|---|---|
| Item | Settings tab → Vendors | Supplier, Manufacturer, Service provider |
| Reservation | Contacts card | Customer, Service supplier, Contact |
| Checkout | Customer section | On behalf of, Contact |
| Event | Performed by section | Performed by, Client |
| Issue | Contacts card | Performed by, Reported by |
Some typical uses:
- Put the supplier and manufacturer on an item, so purchase and service contacts are always one click away.
- Mark the customer on a reservation or checkout when equipment is rented out or used on behalf of a client.
- Record which service partner performed a maintenance event, or who an issue was reported by.
Each linked contact row shows the contact's photo/initials, name, role tag and email or phone, so you can reach them directly. Clicking the name opens the contact.
For a recurring reservation, contacts are linked to the reservation series — all occurrences share them.
The Connections tab
The other direction lives on the contact's page: the Connections tab lists every item, reservation, event, issue and checkout the contact is linked to, grouped by kind and with the role shown on each row. Click a row to open that record.
For reservations, checkouts, issues and events there are also richer activity views with status and dates — see Contact activity and documents.
